AV Studio & Meeting Room Bookings

Council has a range of meeting rooms, a large events space and AV studio available for public use in Te Whare Whakatere, the Ashburton Library and Civic Centre building.

Bookings can be made up to 30 days in advance, and are subject to availability and fair use. Making an online booking requires a minimum lead time of 72 hours to allow for weekends and public holidays. Contact us for regular repeat bookings or those beyond 30 days.

No single hirer may have more than three bookings reserved in advance in a six-month period. Exceptions are Library programmes or events, partnership programmes or special events sponsored or hosted by ADC.

Catering, and tea and coffee services within a Council meeting room can be arranged privately by contacting our onsite café One Ninety Nine, another local caterer or bringing your own suitable food (Catering, and tea and coffee services within meeting rooms can be arranged by the hirer contacting our onsite café One Ninety Nine, other local caterers or the hirer can bring their own non-alcoholic drinks, biscuits or odourless finger foods. Depending on the room hired, other types of food may be permitted by the Library Manager. No storage of food or other catering item is permitted outside the booked hours), noting that two meeting rooms have kitchen facilities.

We have introduced a tiered charging system (free, half rates, full rates) for external users based on a meeting’s purpose and or community benefit.

Individuals or community groups who wish to host a meeting or event within library hours that focuses on social, environmental or cultural wellbeing or providing learning opportunities and is at no cost to attendees, should make contact with library@adc.govt.nz or call us on 308-7192, as your booking could be eligible free.

Meetings that start and or finish outside of library hours are also possible in certain meeting rooms, with any associated security costs covered by the hirer. If this applies to your booking, please include your desired times in the “notes” section of your online booking form and a member of our team will be in touch to discuss your request further.
